Effective Date: 10 Aug, 2026 Last Updated: 10 Aug, 2026
This Refund and Cancellation Policy (“Policy”) describes how subscriptions to Algebrix Identity may be cancelled, when refunds are available, and what happens to your account and data after cancellation.
This Policy forms part of and is incorporated into the Algebrix Terms of Service (“ToS”). Capitalized terms not defined here have the meaning given to them in the ToS. If you have signed a separate Order Form, Master Services Agreement, or Enterprise Agreement with Algebrix, the terms of that agreement control to the extent they conflict with this Policy.
- Scope
This Policy applies to all paid subscriptions to Algebrix Identity, including:
- Cloud (multi-tenant SaaS) subscriptions on the Starter, Growth, and Scale plans
- Dedicated (single-tenant) deployments
- Self-hosted license subscriptions
- Enterprise agreements, except where superseded by a signed Order Form
This Policy does not apply to purchases made through a cloud marketplace (such as AWS Marketplace or Microsoft Azure Marketplace), an authorized reseller, or a channel partner. Those transactions are governed by the refund and cancellation terms of the applicable marketplace or partner agreement. See Section 11.
- Definitions
- Subscription Term: the billing period you have committed to, either monthly or annual, as selected at checkout or specified in your Order Form.
- Billing Cycle: the recurring interval on which your subscription renews and is invoiced.
- Renewal Date: the first day of a new Subscription Term.
- Effective Cancellation Date: the date on which your subscription terminates and access to the Service ends.
- Service: the Algebrix Identity platform and any associated modules, including SSO, MFA, workforce identity, customer identity (CIAM), privileged access management (PAM), and machine-to-machine authentication.
- Free Trials, Pilots, and Early Access
Algebrix may offer free trials, proof-of-concept environments, or early access programs at its discretion.
- No payment is collected during a free trial or pilot unless expressly agreed in writing.
- Trials and pilots may be terminated by either party at any time, for any reason, without liability.
- Unless you convert to a paid subscription before the trial ends, your trial environment and any data within it may be deactivated and deleted in accordance with Section 12.
- Because no charge is incurred, no refund applies to trials, pilots, or early access participation.
- Subscription Terms and Automatic Renewal
- Subscriptions are billed in advance for the Subscription Term selected.
- Monthly subscriptions renew automatically each month on the anniversary of your start date.
- Annual subscriptions renew automatically for successive twelve (12) month terms.
- Renewal pricing is the then-current list price for your plan unless a fixed renewal rate is specified in your Order Form. Algebrix will provide at least thirty (30) days’ notice before any price increase takes effect at renewal.
- Usage-based charges (for example, overages on monthly active users, machine identities, or authentication volume) are billed in arrears and are not refundable.
- Cancellation by You
5.1 Cloud, monthly plans
You may cancel a monthly subscription at any time. Cancellation takes effect at the end of the current Billing Cycle. You retain full access to the Service until that date, and you will not be charged for subsequent cycles. Monthly subscriptions are not prorated, and no partial-month refunds are issued.
5.2 Cloud, annual plans
Annual subscriptions represent a commitment for the full twelve (12) month term and cannot be cancelled mid-term for convenience. You may cancel the automatic renewal at any time, provided notice is received at least thirty (30) days before the Renewal Date. Access continues through the end of the paid term.
5.3 Dedicated (single-tenant) deployments
Dedicated deployments require dedicated infrastructure provisioned on your behalf and are subject to a minimum twelve (12) month term unless otherwise agreed. Cancellation of renewal requires at least sixty (60) days’ written notice before the Renewal Date. Provisioning, migration, and decommissioning fees are non-refundable.
5.4 Self-hosted license subscriptions
Self-hosted licenses are issued as term licenses tied to your Subscription Term. Upon cancellation or expiry:
- Your right to use the Service terminates on the Effective Cancellation Date.
- License keys will cease to validate, and support, updates, and security patches will no longer be provided.
- You must cease use of the software and delete all copies within thirty (30) days, except where retention is required by law.
Cancellation of renewal requires at least thirty (30) days’ written notice before the Renewal Date.
5.5 Enterprise agreements
Cancellation, notice periods, and termination rights for Enterprise customers are governed by the applicable Order Form or negotiated agreement. Where that agreement is silent, this Policy applies.
5.6 How to cancel
To cancel, contact us at [email protected] from an email address associated with an authorized administrator on your account, or use the in-product billing controls where available. We will confirm cancellation in writing. Verbal requests, support chat messages, and requests from unauthorized users are not treated as valid notice.
- Refund Eligibility
6.1 Initial subscription refund window
For first-time customers on a Cloud plan purchased directly from Algebrix, you may request a full refund within fourteen (14) days of your initial paid subscription start date. This window applies once per organization and does not apply to renewals, upgrades, add-ons, or reinstated accounts.
6.2 Billing errors and duplicate charges
If you were charged in error, charged twice for the same period, or charged after a validly submitted cancellation, we will refund the incorrect amount in full. Please notify us within sixty (60) days of the charge appearing on your statement.
6.3 Material failure to deliver
If Algebrix is unable to provision or deliver the Service you purchased, and no workaround is available within a reasonable period, you may request a pro-rata refund for the unused portion of your Subscription Term.
6.4 Termination by you for Algebrix’s uncured material breach
If you terminate for Algebrix’s material breach in accordance with the ToS, and Algebrix has failed to cure that breach within the applicable cure period, you are entitled to a pro-rata refund of prepaid fees covering the remainder of the Subscription Term.
- Non-Refundable Fees
Except as expressly stated in Section 6, all fees are non-refundable. This includes, without limitation:
- Prepaid fees for unused time on a cancelled monthly subscription
- Implementation, onboarding, setup, and migration fees
- Professional services, custom development, integration, and consulting engagements, whether delivered or in progress
- Dedicated instance provisioning and infrastructure allocation fees
- Training, workshops, and certification fees
- Usage overages and metered charges already incurred
- Third-party costs passed through at cost (SMS and voice OTP delivery, external identity verification, certificate issuance, and similar)
- Subscriptions purchased at a promotional, pilot, or discounted rate
- Fees paid for a Subscription Term during which the account was suspended or terminated for breach (see Section 9)
- Applicable taxes, duties, and payment processing fees already remitted
- Plan Changes, Upgrades, and Downgrades
- Upgrades take effect immediately. You will be charged a prorated amount for the remainder of the current Billing Cycle at the new plan rate.
- Downgrades take effect at the start of the next Billing Cycle. No credit or refund is issued for the difference in the current cycle.
- Downgrading may reduce entitlements such as monthly active users, realms or tenants, machine identities, retention periods, support tier, or feature access. You are responsible for ensuring your configuration fits within the limits of the lower plan before the change takes effect. Algebrix is not liable for loss of functionality or data resulting from a customer-initiated downgrade.
- Suspension and Termination by Algebrix
Algebrix may suspend or terminate your access to the Service, without refund, if:
- Fees remain unpaid after the applicable grace period stated in the ToS
- You materially breach the ToS, Acceptable Use Policy, or Data Processing Agreement
- Your use of the Service creates a security, legal, or operational risk to Algebrix, its infrastructure providers, or other customers
- Required by law, regulation, court order, or applicable sanctions and export control obligations
Where suspension is for non-payment, access is typically restored once the outstanding balance is settled. Termination for cause does not entitle you to a refund of prepaid fees.
Algebrix may also discontinue the Service or a specific plan with at least ninety (90) days’ notice. In that event, you will receive a pro-rata refund for the unused portion of any prepaid Subscription Term.
- Service Level Credits
Where a Service Level Agreement (SLA) applies to your plan, uptime and availability shortfalls are remedied exclusively through service credits as described in that SLA. Service credits are applied against future invoices, are not exchangeable for cash, and are not paid out on cancellation or expiry. Service credits are the sole and exclusive remedy for availability failures and do not constitute a refund under this Policy.
- Marketplace, Reseller, and Partner Purchases
If you purchased Algebrix Identity through a cloud marketplace, reseller, distributor, or managed service provider:
- Billing, cancellation, and refunds are handled by that channel, not by Algebrix directly.
- The refund and cancellation terms of the marketplace operator or partner agreement apply.
- Algebrix cannot issue refunds for transactions it did not process.
Please contact your marketplace provider or partner account manager for assistance. We are happy to support the technical side of any transition.
- Data After Cancellation
We follow the retention and deletion commitments set out in our Data Processing Agreement. In summary:
- Export window: for thirty (30) days after the Effective Cancellation Date, your data remains available in read-only or export mode so that authorized administrators can retrieve user records, configuration, and audit logs.
- Deletion: after the export window closes, production data is scheduled for deletion. Backups containing your data are purged on our standard backup rotation, typically within a further sixty (60) days.
- Certificate of deletion: available on written request.
- Migration assistance: exports of user directories, realm configuration, and audit logs are available in standard formats. Hands-on migration support beyond standard export tooling is a chargeable professional service.
- Legal holds: we may retain data longer where required by law, regulation, or an active legal hold.
Once deleted, data cannot be recovered. Please complete your export before the window closes.
- Refund Processing
- Approved refunds are issued to the original payment method. We cannot refund to a different card, account, or party.
- Refunds are processed within ten (10) business days of approval. Depending on your bank or card issuer, funds may take a further five (5) to ten (10) business days to appear.
- Refunds are issued in the original currency of the transaction. Algebrix is not responsible for losses arising from exchange rate movements or bank fees.
- Where a refund is issued, any associated service credits, promotional discounts, or referral benefits tied to that transaction are void.
- Chargebacks and Payment Disputes
Please contact us before initiating a chargeback. Most billing questions are resolved quickly and directly.
Initiating a chargeback without first contacting us may result in immediate suspension of your account pending resolution. Accounts with unresolved chargebacks may be referred for collection and may be refused future service.
- Taxes
All fees are exclusive of applicable taxes unless stated otherwise. Where a refund is issued, any tax collected on the refunded amount is refunded in accordance with applicable law. Withholding taxes, if any, remain your responsibility.
- Changes to This Policy
We may update this Policy from time to time. Material changes will be posted on this page with a revised “Last Updated” date and, where the change adversely affects existing customers, communicated by email at least thirty (30) days in advance. Changes apply prospectively and do not affect a Subscription Term already in progress.
